Editorial Director

The Editorial Director is responsible for supervising the editorial team and collaborating with writers, medical, account, project management and coordination teams to ensure all editorial work is delivered with accuracy and on schedule. You are responsible for allocating work among editors and supports the activities of editing, reviewing, and ensuring quality of the scientific, promotional, and unbranded content developed by the agency. This position would require both management and editorial work. This position reports into the Group Creative Director.

Primary responsibilities:

  • Ensure content is grammatically and factually correct, accurately referenced, follows clients and branding style guidelines and FDA/OPDP requirements for promotional and unbranded content and ancillary materials
  • Develop and refine editorial department processes and procedures and leads training, such as eRouting best practices, Permissions, and Client Submission processes, and reinforcing these SOPs across the agency
  • Lead training of and adherence to Pharma, FDA, and client-specific guidelines and regulations regarding promotional and educational programming
  • Serve as the agency subject matter expert, providing insight and guidance on best editorial practices throughout the agency
  • Create and/or maintain client and brand style sheets; distribute guidelines among staff editors
  • Collaborate with internal teams, including account and project management, medical services, copy, art, and digital-related roles, on execution of client deliverables and keep teams informed of any significant editorial issues or delays on any job
  • Attend weekly status, kick-off, and any other team meetings requiring editorial perspective and input as needed
  • Maintain source and reference files in a catalogued fashion on agency server
  • Obtain and document grants of permission regarding published materials
  • Keep abreast of changes in AMA and client styles and communicate broadly to the editorial team, as well as the entire agency’s staff, as necessary
  • Maintain pool of high-quality editorial freelancers to support peak times of work
  • Execute all aspects of administrative responsibilities (eg, timesheets, Outlook calendar) in an appropriately detailed and timely manner
  • Ensure all assets contain all appropriate information required by clients and the FDA (eg, copyright lines, logos and generic names, fair balance, job code numbers, please see lines, etc.)
  • Ensure each job is reviewed at each stage according to the agency’s workflow procedures

Managerial responsibilities:

  • Serve as a team leader to oversee the work of individual editors, including training editors, evaluating their work, and monitoring quality control standards to ensure all work meets the highest standards of accuracy
  • Provide constructive and direct ongoing feedback to editors and lead development of performance reviews
  • Keep Group Creative Director apprised of any workload challenges/concerns on assigned team accounts that may necessitate hiring freelancers
  • Supervise editor schedules to ensure editorial coverage across agency business, including weekend work, when necessary
  • Source and hire freelance editorial staff as necessary to meet deadlines
  • Meet with Account, Medical, PM, and Copy to discuss workflow and resolve issues, as necessary
  • Set priorities while handling multiple projects and delegate work appropriately
  • Identify gaps in resources/inefficiencies in workflow and provide potential solutions as necessary

Qualifications and skills:

  • Extensive knowledge of working with medical writers, copywriters, and others responsible for the creation of clinical, scientific and promotional materials in the pharmaceutical industry
  • Minimum of 7 years of editing experience and 3 years editorial department management experience
  • Bachelor’s degree—preferably English, Journalism, or Communications major
  • Ability to collaborate well within a team
  • Flexibility and ability to thrive under pressure in a fast-paced environment
  • Possess strong interpersonal and managerial skills
  • Ability to work with various projects and brand styles
  • Highly organized and have exceptional attention to detail and quality
  • Excellent editing, fact checking, and communication skills
  • Proven ability to manage and mentor medical editors and manage workflow
  • Excellent analytical and problem-solving skills
  • Proficient in PowerPoint, Word, Excel, Outlook, Pubmed, Internet and workflow tools
